Designing outdoor events

For those of us who deal with chilly winters, warm weather is here at last! The glorious arrival of sunny days brings with it an influx of requests for outdoor events. Making these events truly unique will distinguish your catering company as an expert in the field.

We spoke with David Everett, senior wedding and event producer with The JDK Group, about outdoor events. The JDK Group has won numerous awards in the catering and events industry, including the CATIE Award for Signature Caterer for Best Wedding along with Bride’s Choice Best Caterer on both The Knot and WeddingWire.

First, a recap

We are already almost halfway into this year, so caterers are already noticing certain emerging wedding trends. Here’s a quick list of what Everett has seen among his clients:

• Add a hint of nostalgia throughout the décor with personal items and touches


• Less demand for rustic, laidback vintage
• Brides want more vintage refined or industrial chic
• Less is more; busy is not better

• Creating a focal point or showstopper is key

• Suspended décor gives the space life and dimension


• Design within the negative space is preferred

 

Location, location, location

So, weddings are moving outdoors, but where? “The desire to have a wedding inside a barn is still hot in our area,” says Everett, though he added, “the whole barn wedding concept is moving toward a more refined feel.” Redone barns are more desirable than working barns, as they are cleaner and typically easier to convert to venues. Additionally, Everett found that “families host events at their homes” if they want the wedding to be a more personal celebration.  

Back-up plan & logistics

Though an outdoor celebration can provide an incredible setting, it is also much more unpredictable than the reliable comfort of indoor venues. When producing an outdoor event, it is absolutely important to have a back-up plan in case the weather does not cooperate. Tents are a good way to obtain the reliability and comfort of indoor events while retaining the beauty of an outdoor celebration. “I make sure the main tent is large enough to handle the entire event if needed,” Everett explains, “but if not needed, then we just have extra space in the event tent.”

Leaving a lasting impression

Though the realistic aspects of planning an outdoor event must be considered, it is the design potential of outdoor spaces that makes them so interesting. “When producing an outdoor event, don’t be afraid to create drama,” advises Everett. “If you have a pool, hire a performer to perform in the pool. If you have a large yard, hire an aerialist to fill up the space. You want to make sure you touch all five senses so that you produce an unforgettable experience.”
